About the role

We are looking for a proactive and engaged Executive Assistant to several members of our Maritime senior leadership team.

In this role, you will act as a trusted partner to our senior leaders. Your exceptional attention to detail and your ability to manage multiple priorities will enable the senior leaders to focus on strategic priorities by managing their daily operations, travel arrangements, expense management, communication, and coordination with key stakeholders.

In this position, you will be exposed to, and collaborate with, a wide range of people from all levels of the DNV organization as well as external stakeholders. Through collaboration with colleagues around the world you will gain deep insight into the operation of our diverse organization.

To succeed in this role, you need to be organized, self-driven, stress-resilient and agile. You like to work in an environment characterized by parallel tasks, complexity, unforeseen events and dynamic schedules across different time zones. You pay attention to details while keeping the holistic view. You are happy to take on new challenges as you are ensuring that repetitive tasks are handled with quality and efficiency.

Your tasks will include but are not limited to:

• Administrative responsibility to manage complex calendars for multiple leaders, including scheduling and booking of meetings, management of invitations and coordination of calendars

• Coordinate domestic and international travel, including flights, accommodations, visas, ground transportation, and itineraries.

• Organize and prepare for meetings, including agenda development, logistics, materials and follow-ups and assist in organizing internal and external events and dinners, partly in collaboration with the Maritime Regions or Communications team.

• Prepare, edit, and follow up on presentations, reports, and business documents, while maintaining confidentiality and records, as requested.

• Establish and maintain exceptional working relationships with internal and external stakeholders and serve as discreet point of contact.

• Assist with team initiatives, projects and other administrative tasks as needed.

• Effectively support leaders working in different locations by using collaboration and communication tools

About you

Position Qualifications:

• You have proven experience as an Executive Assistant, or similar role supporting multiple leaders, in an international corporate environment

• You have strong organizational and time-management skills with the ability to manage multiple priorities, and you can demonstrate significant results characterized by quality and precision

• You communicate in a clear, precise, and structured way, and you have excellent English skills, both written and spoken

• You are highly adaptable to different work styles and are comfortable with effectively managing changes in a pragmatic and confident way

• You are forward-thinking, flexible and solution oriented, able to act independently and proactively

• You are perceived by others as very service-minded and trustworthy; with high integrity and the ability to maintain confidentiality

• You are experienced in Microsoft Office applications like Word, Excel, PowerPoint, Teams and related tools.

• High level of discretion, professionalism, and attention to detail.

• You are a proactive problem-solver who thrives in a fast-paced environment

The position is based in our company headquarter in Høvik. The office is located beautifully close to the sea and can offer a wide variety of benefits like canteen, sport clubs with access to sailboats, kayaks, tennis court etc. It is also easily accessible through free shuttle buses to the office from both Sandvika and Skøyen station. DNV has company cabins and organizes many social events and happenings.
