About the role

Local Unit & Position Description

The Planner is responsible for the effective scheduling and coordination of certification-related activities, ensuring compliance with accreditation requirements, optimal resource utilization, and timely service delivery. This role supports project management across multiple clients, standards, and audit cycles, working closely with auditors, clients, and internal teams. This position reports to the Planning Manager, Team Lead.

Main Responsibilities (Roles & Responsibilities)

  • Managing projects including project review, maintenance and closing.
  • Developing and managing detailed schedules within certification cycle in alignment with client needs and scheme/accreditation requirements in advance for at least 3 months and arrange for 3-year schedule.
  • Coordinating auditor assignments based on competencies, availability, and geographical considerations.
  • Monitoring and optimizing resource allocation to ensure efficient delivery of certification services. (This includes the requests received from other countries and other areas as per the IORA / IWO.)
  • Communicating and confirming audit dates with clients and auditors, ensuring alignment across all stakeholders, and sending the confirmation letters to clients.
  • Ensuring compliance with accreditation rules (e.g., ISO/IEC 17021), scheme rules (e.g., IATF 16949 rule 6) and internal quality procedures.
  • Ensuring all the data in the system (Sales Clouds, Service Clouds, NGPS schudulers, etc) are updated and correct including data cleaning.
  • Planning witness audits for auditor qualification and regular performance monitoring working with Technical Team.
  • Review, collect and follow up on the pending payments.
  • Supporting reporting and KPI tracking related to planning performance.
  • Assisting in capacity planning and forecasting for future audit demands.
  • Administrative work for the arrangement of any event, training, seminar etc and travel arrangements for overseas visitor / auditor etc.
  • Any other necessary administrative work related to the Business Assurance related activities / projects.
  • Any other work assigned as and when is required as per the line manager.

About you

Position Qualifications (Skills / Competencies / Experience)

  • Bachelor’s degree or equivalent;
  • Up to 3 years of experience in relevant field (certification bodies, accreditation bodies, etc);
  • Additional training or certification in quality management systems or scheduling tools is a plus;
  • Work experience in the similar industry of management system certification for operations / technical area is preferred;
  • Excellent organizational and time-management skills
  • Strong attention to detail and accuracy
  • Effective communication and interpersonal abilities
  • Analytical thinking and problem-solving
  • Stakeholder coordination and negotiation
  • Flexibility and adaptability in a fast-paced environment
  • Proficiency in Microsoft Office Suite and planning/scheduling systems
  • Experience in deploying customer facing digital tool
  • Experience in handling complex customer services
